HR Policy Highlights

Working Hours

Flexible working hours scheduled from 8:00/9:00 AM until 4:00/5:00 PM, from Sunday to Thursday; unless indicated by management in certain circumstances that different hours are in effect. Our flexible one hour enables a balanced lifestyle for our team members.

During Ramadan: Muslim team members are granted shorter working hours (6 hours per day) as per Bahrain Labour Law.

Attendance

All team members are required to punch in and out each day upon reporting to the office.

Probationary Period

All employment at the company shall be subject to the satisfactory completion of a three-month probationary period, unless otherwise stated in the contract of employment.

Salary

The net salary for every team member will be transferred to the designated bank account on the last week of every month.

Business Travel Expenses

All requests for Business Travel shall be subject to the approval of the Beyon Solutions CEO and Beyon CEO.

Travel Arrangements: All travel-related arrangements shall be made through the Digital Growth Receptionist via our selected travel vendors.

Compensation Advancement

Compensation advancement is applied within two promotion windows: April & October.

An advancement can be granted to eligible Team Members on one of the promotion windows mentioned above within a given year, as per HR Policies and Procedures Manual.

Note: Any adjustment made after April payroll will not be considered in the bonus calculation at year end.

Leave Policies

Annual Leave

During the first year of service, leave will be accrued on pro-rated basis and credited to the Team Members' leave account.

Important: During the probationary period, Team Members have no leave and/or sick leave balance to utilize. If a public holiday falls during paid annual leave, such days shall be added to the Team Member's leave entitlement.

Sick Leave

Team members who have completed their probation period are entitled to apply for sick leave as per the policy laid down in the Labour Law of Kingdom of Bahrain.

Certificate Required: Leave applications for sick leave must be accompanied by a medical certificate and submitted immediately upon return to work after a period of sick leave lasting one day or more.

Maternity Leave and Nursing Period

Female Team Members are eligible for maternity leave with full pay for 60 days including the period preceding and following confinement.

Nursing Periods:

First 6 months: Two nursing periods of not less than one hour each (max 2 hours combined)
Next 6 months: Two nursing periods of half an hour each (max 1 hour combined)
Female Team Members may combine these two periods

Marriage Leave

Upon confirmation, all Team Members are eligible for 3 days paid leave on the occasion of their first marriage.

Paternity Leave

Male Team Members are eligible for 1 day paid leave on the occasion of a birth of a child.

Death of Family & Relative Leave

Team Members are eligible for 3 days of paid leave following the death of a relative as defined in the HR Policies and Procedures Manual.

Pilgrimage (Hajj) Leave

Muslim Team Members who have worked for the Company for 5 consecutive years are eligible for a paid leave of 14 working days for Hajj Pilgrimage.

Note: Can be availed once during the employment period.

Notification of Absence

Whenever a Team Member is absent or late for illness or other reasons, he/she is required to notify the Line Manager and Digital Growth HR Team by email, telephone or other means, by not later than 10:00 AM on the same day.

Public Holidays

In accordance with the Bahrain Labour Law, Public Holidays as declared by the Government of Bahrain are granted as days off with full pay:

Team Members need to strictly follow the laid down formal guidelines and rules related to usage of e-mail messages and signature for communication within and outside the Company.

Smoking Policy

Smoking on Beyon's premises is against the law and is not allowed under any circumstances, unless in designated areas. This policy applies equally to all Team Members and visitors.

In case of any alert, we ask you to:

Stop working, follow the signs for evacuation to the nearest emergency exit
Go to the meeting point
Follow instructions

Health & Safety

Beyon aims to continuously promote, support and manage your health and safety. Our campus space was designed in a way where different facilities are spaced out into different buildings so that team members are encouraged to walk to different locations throughout the day and avoid sitting for prolonged periods.

We also offer healthy food options in our canteen that tailor to different dietary restrictions.

If you have any suggestions on how to improve our efforts to continuously progress our health & safety standards, please share them directly with our Digital Growth HR team.

Hygiene Standards

Beyon implements a high standard of personal and operational hygiene to safeguard your health and well-being.

1. Personal Hygiene:

Wash hands regularly, before and after eating, after using the restroom, after coughing, sneezing, or blowing your nose
Cover mouth and nose with a tissue or elbow when coughing or sneezing
Wear clean clothes to work

2. Workplace Cleanliness:

Keep common areas clean and tidy
Wipe down surfaces in kitchens, restrooms, and meeting rooms after use
Properly store food in designated areas
Clean up spills immediately and dispose of any trash
Maintain a clean and tidy desk
Store all files and confidential documents in cupboard or designated storage area at end of day
Ensure no leak of sensitive information from computers/laptops/storage devices or printouts
Erase whiteboards containing restricted/sensitive information after use

Performance & Development

Performance Management Review (PMR)

Conducted annually throughout the company after the end of each calendar year (January to December).

Team Members are requested to seek ongoing feedback from Line Managers to ensure that they are on the right track to achieve goals within the company.

Each Team Member shall be assigned an Appraiser, who usually is the direct Line Manager.

PMR Windows (3 times per year):

Part 1: Goal Setting

Setting annual performance objectives at the beginning of the year

Part 2: Mid-Year Review

Mid-year review and delivering coaching sessions to Team Members

Part 3: Year-End Review

Year-end review with the aim of evaluating performance throughout the year

Training & Development

All Team Members are eligible for the training and development programs and courses offered by the HR Digital Growth team to support their career development.

The Training Needs Analysis is conducted by Digital Growth HR at the start of every year to prepare the Team Members' training plan.

Important:

Days attending training are considered normal working days
Only training directly relevant to current job or future growth at the Company will be considered

Human Resources Management System (Odoo)

System Access

Access will be shared by Digital Growth HR Team which includes the link, username, and password. The system will force the Team Member to change the password upon the first login.

Mobile App

Odoo Mobile App provides access to all Odoo applications directly from your mobile phone.

Getting Started

What should I do on my first day?

First Day Checklist:

Report to HR at 8:00 AM for orientation
Collect your employee ID card and access badge
Set up your workstation and IT equipment
Meet your team and direct manager
Complete mandatory onboarding training
Review employee handbook and policies

What to bring: Original ID/Passport, CPR copy, bank details, emergency contact information

How do I access company systems?

Your IT credentials will be provided during onboarding:

Leave & Time Off

How much annual leave do I get?

Annual Leave Entitlement:

30 calendar days per year (as per Bahrain Labor Law)
Accrued monthly (2.5 days per month)
Can be carried forward up to 15 days to next year
Unused leave beyond 15 days is paid out

What types of leave are available?

Leave Types:

Annual Leave: 30 days/year
Sick Leave: As per medical certificate (paid for first 15 days)
Emergency Leave: 3 days/year for urgent personal matters
Maternity Leave: 60 days (as per Bahrain Labor Law)
Paternity Leave: 3 days
Hajj Leave: 30 days (once during employment)
Bereavement Leave: 3-5 days depending on relationship
Study Leave: Subject to approval and company needs

How do I request leave?

Leave Request Process:

Check your leave balance in the portal
Submit request at least 2 weeks in advance (for annual leave)
Manager approval required
HR will confirm once approved
Set out-of-office message and handover tasks

Emergency Leave: Contact your manager immediately and submit request as soon as possible

Payroll & Benefits

When do I get paid?

Payroll Schedule:

Payment Date: 1st of every month
If 1st falls on weekend/holiday: Paid on last working day before
Payslip: Available in portal by 28th of previous month
Direct Deposit: To your registered bank account

First Salary: Pro-rated based on joining date, paid in next cycle

How do I update my bank details?

To update bank information:

Log into the HR ERP Portal (Oracle Cloud) - see Emergency Contacts section
Navigate to Personal Information → Banking Details
Upload bank letter with account details
Submit at least 10 days before next payroll
Changes effective from following month

Required Documents: Bank letter on official letterhead with account number and IBAN

Alternative: Contact HR department directly if you need assistance

How do I reset my password?

Password Reset Options:

Self-Service: Use the "Forgot Password" link on login page
IT Service Desk: Call 17883838 for immediate assistance
IT Support Portal: Submit a ticket at esm.btc.com.bh
In Person: Visit IT Support desk with your employee ID

Password Requirements: Minimum 8 characters, must include uppercase, lowercase, number, and special character. Changes every 90 days.

How do I request IT equipment?

Equipment Request Process:

Submit a request via IT Support Portal at esm.btc.com.bh
Specify equipment needed and business justification
Manager approval required
IT will process based on availability
Typical turnaround: 3-5 business days

Available Equipment: Laptops, monitors, keyboards, mice, headsets, docking stations, mobile devices

Can I work remotely?

Remote Work Policy:

Hybrid Model: Available for eligible roles
Approval: Requires manager and department head approval
VPN Access: IT will configure secure remote access
Equipment: Company laptop required for remote work
Availability: Must be reachable during working hours

What are the working hours?

Standard Working Hours:

Days: Sunday to Thursday
Hours: 8:00 AM - 5:00 PM (with 1-hour lunch break)
Total: 40 hours per week
Flexible Hours: Some departments offer flexible start/end times
Ramadan Hours: Reduced hours during Ramadan month

Rating Scale: 1-5 (1=Needs Improvement, 5=Exceptional)
360 Feedback: Input from peers, manager, and direct reports
Development Plan: Career growth and training recommendations

Impact: Performance ratings affect annual bonus and salary reviews

Parking Information:

Employee Parking: Basement levels B1 and B2
Parking Pass: Collect from Security desk with employee ID
Visitor Parking: Ground level, limited spaces

How do I book a meeting room?

Meeting Room Booking:

Online: Use Calendar section in this portal
Outlook: Book through Outlook calendar
Navigation: Use Meeting Room Map to find locations
Capacity: Rooms range from 4 to 20 people
Equipment: All rooms have video conferencing and displays

Cancellation: Please cancel if not needed to free up for others

Is there a cafeteria or food options?

Food & Dining:

Company Cafeteria: Ground floor, open 7 AM - 4 PM
Menu: Hot meals, sandwiches, salads, snacks
Subsidized: Employees get discounted rates
Coffee Station: Free coffee and tea on each floor
